Set the practice up once and every booking flows through intake, treatment and billing without anyone re-typing it. Here is what that setup actually involves.

How onboarding works

1. Tell us about the practice

Practice name, practice number and the locations you work from. Everything downstream — where patients can book, what appears on an invoice — reads from this.

2. Add your team

Practitioners and administrative staff, each with a role. The role decides what that person can see and do, which is what keeps clinical information with the clinicians.

3. Set up what you offer

Your services, their durations and their codes. The same definition drives the length of the appointment in the diary and the line on the invoice, so the two cannot drift apart.

4. Bring your existing data across

Data migration is built in, so patients and their history come with you rather than being left behind in the old system.

5. Open the diary

Set each practitioner’s working days, hours and breaks, then decide who can be booked online and how far ahead. Online bookings land in the same diary the practice already works from.

6. Switch on the rest when you are ready

Reminders by SMS and email, banking and payments, your note templates and the online intake form. None of it is required on day one.

You do not have to do it all at once. Every one of these lives in Practice Settings and can be changed later, so you can start seeing patients and refine the setup as you go.

Getting started FAQs

How long does it take to get PractoSync running?

It depends far more on your data than on the software. A single-practitioner practice with a short patient list can be seeing patients the same week; a practice bringing years of history across takes longer. Setup happens section by section, so you are never waiting for the whole thing to be finished before you can use any of it.

Do we have to set everything up before we can start?

No. You need the practice details, your team and your services to start booking and treating. Reminders, banking, note templates and the intake form can all be switched on later, once you are running.

Can we bring our existing patient data across?

Yes. Data migration is built into PractoSync rather than being a manual re-capture exercise, so patients and their history come with you instead of being left behind in the old system.

What do you need from us to get started?

Your practice details and practice number, the locations you work from, the people who will use the system and the services you offer with their durations and codes. Everything downstream reads from those four things.

Can we start with one practitioner and add others later?

Yes. Practitioners are added as you go, each with their own availability and their own column in the diary. A practice can grow into the system rather than having to arrive complete.

Does PractoSync work for a practice with more than one location?

Yes. Locations are set up as part of the practice, and each practitioner’s availability is configured per location. The location travels with the appointment through to the invoice.

Can different staff have different levels of access?

Yes. Every person gets a role, and the role decides what they can see and do. It is enforced on the server rather than only hidden in the interface, so clinical information stays with the clinicians while administrative staff work on bookings and accounts.

What can we switch on once we are up and running?

SMS and email reminders, banking and card payments, your own clinical note templates, the online intake form and online booking for patients. None of them are required on day one.
